Privacy Policy

This Privacy Policy explains how Docenta ("we") collects, uses, and protects information when you use the Service. We act as a service provider (processor) for the lesson businesses that use Docenta: they decide what information to collect about their students and families, and we process it on their behalf.
Information we collect
- Account information — the owner and staff email addresses and passwords used to sign in.
- Business data — students, guardians, schedules, packages, attendance, notes, and similar records that a business enters.
- Usage information — basic technical logs needed to operate and secure the Service.
How we use information
We use information to provide and secure the Service, to generate the features a business asks for (such as AI-assisted setup, notes, and reports), and to communicate about the Service. We do not sell personal information, and we do not use student information to train AI models.
Children's data (COPPA)
Many lesson businesses teach children under 13. Docenta does not create accounts for children, and children do not interact with Docenta directly. A business may enter records about a minor student and may grant a guardian portal access. When a business uses Docenta to handle a child's information, the business is responsible for obtaining any parental consent required by the Children's Online Privacy Protection Act (COPPA). We process that information only to provide the Service and delete it on the business's instruction.
California privacy rights (CCPA/CPRA)
If you are a California resident, you have the right to know what personal information is collected, to request access or deletion, and to not be discriminated against for exercising these rights. Because we process most personal information on behalf of a business, we will forward your request to that business or help them respond. We do not sell or share personal information as those terms are defined under California law. To make a request, email privacy@docenta.app.
Sharing
We share information only with service providers that help us run the Service (such as cloud hosting, email, and AI processing), under agreements that limit their use of the information. We may disclose information if required by law.
Data retention and security
We keep information for as long as a business maintains its account, and delete or return it on request within a reasonable period. We use industry-standard measures, including encryption in transit and tenant-level access controls, to protect information. No system is perfectly secure.
Your choices
Business owners and staff can access, correct, or delete records within the Service. Students and guardians should contact their studio, which controls their information. You may close your account at any time.
Changes
We may update this policy and will provide notice of material changes.
