Lesson cancellation policy generator
The awkward part of teaching isn’t teaching — it’s telling a family the missed lesson still counts. A written policy does the arguing for you. Answer four questions and copy yours.
Cancellation policy for our studio Please give at least 24 hours' notice to cancel or reschedule a lesson. With that notice, the lesson can be rescheduled at no charge. If a lesson is cancelled with less than 24 hours' notice, the lesson is charged in full. Missed lessons without notice (no-shows) are charged in full. Up to two make-up lessons per term are offered for absences with proper notice, scheduled from available slots. This policy keeps the schedule fair for every family and protects lesson time that has been reserved for you. Thank you for understanding.
What makes a cancellation policy actually work
Three things: it’s written down before anyone needs it, it’s the same for every family, and it’s applied every time — kindly, but every time. The wording above is deliberately warm; the firmness comes from consistency, not tone. Send it with your welcome message, link it from your booking page, and restate it at re-enrollment.
One decision matters more than the rest: what happens to a late-cancelled lesson. Charging in full protects your income; make-up credits protect the relationship. Both are legitimate — pick the one you can enforce without resentment, because a policy you waive every week isn’t a policy.
Docenta doesn’t just store this policy — it enforces it in your booking system, automatically
Tell Docenta your rules once, and cancellations, make-up credits, and reminders follow them without another conversation.
